Email Hacks – Quick Tip To Tame Your Inbox

Let’s be honest, email takes up a lot of our time. It really doesn’t matter what industry you are in, email is there, and there’s a good chance you’ll be getting emails all day, every day, well, forever.

Here’s the problem, it can be easy to spend time every day archiving or deleting mail from products or services that you use or may have wanted to use at one time. It’s not SPAM, you signed-up, you might be interested in the future, but the regular emails are clogging-up your inbox.

A year ago I realized that every morning I was spending 5-10 minutes archiving/deleting emails that weren’t SPAM, but also didn’t qualify as anything I have to respond to. Here’s how I fixed it and saved  few hours a month.

The secret is Filters, and a very simply method I developed for using there. Here’s what you do:

1. Select all the email that you would usually archive/delete on a daily basis

2. In gMail click “More” at the top and select “Filter Messages Like These”

3. Now it’s time to create your filter, you should see a bunch of email addresses now in the “From” section

4. Next click “Create filter with this search” and now decide if you’d like a label for these or if you’d like to just automatically archive.

5. Done! While it might seem simple, do this every day for a week and you’ll notice a lot less “low-priority” email getting in the way of the email that matters.

The more you can do to remove the noise and stay focused on what’s important the better you put your time to use. Hope you enjoy this email hack, here’s to a few less hours a month doing email!

    This is so important. As business grows I get more than 2,000 emails a day. Most of this is junk, garbage, spam, newsletters, etc. It is insurmountable. But I have hundreds of rules/filters that clean up my inbox for me. And I am very religious about putting new filters into place to help keep the future maintenance down.

    One of the biggest rules is that any email that contains “newsletter”, “unsubscribe” or “viagra” is thrown away. Sure I might miss a valid email a year from this, but to save me 50 hours of work it is easily worth it.

    I highly recommend putting rules/filters into place. My 2,000 emails a day is now cut down to just about 60 or 70 emails a day I have to go through and read. Sure that is still a lot, but it sure beats the alternative. If you find yourself opening more than 5 emails that contain some phrase you know you are not interested in, add it to a filter. Same goes for the from address. Or the title, etc.
